Community Association Management System
Following are the major functions performed by the COMMON ELEMENT component of CAMS
- You setup the system by defining the locations such as pool, clubhouse, building numbers etc. where you want to keep track of repairs or replacements for the Common Elements.
- You define the types of changes that you want to keep track of such as replacing gutters, gables, roofs, etc.
- You create an entry for each location for each type of change that you want to keep track of and the type work appropriate for the change as either Replaced, Needs Work or Fixed. Optionally, you can identify a project that will enable you to group all common element locations for all types of changes on a single report. Following are some examples of how you would use these features.
- You experience a hurricane which damages a number of gables. You create an entry for each location that has a damaged gable specifying Needs Work as the type of work required. You identify the project for each of these requirements such as Hurricane George Repairs. When a contractor comes in to do the work, you generate a report of Units that need gables repaired and give them the list of locations that they need to do work on.
- Throughout the year, you identify a number of things that need to be fixed or replaced on some buildings such as gutters that need to be replaced, gables that need to be replaced, etc., but you don't need to do immediately and don't have the money to do immediately. You can enter an estimated cost to do each of these tasks. When it comes time to do next year's budget, you print out a report which lists everything that you have identified as needing work and the board decides which tasks to fund.
- The Common Element component of CAMS will help you manage and answer the following types of questions.
- I replaced a number of gables after last year's hurricane and now I want to replace the rest of the gables. Which gables were replaced, who did the work, how much did it cost to replace each gable then and when was the gable replaced?
- I am preparing the budget for next year. What work is needed in the common elements (add/replace a tree, replace a gable, paint the shuffle board courts, etc.) and how much would each of these items cost?
- We experienced a hurricane and have damage to a number of roofs, gables, trees, pool etc. What is the list of items that need to be fixed/replaced and what is the estimated fix or replace cost for all of these items that we need to levy a special assessment for?
- Our association insurance agent wants a list of all improvements made (gables, gutters, roofs replaced, etc.) that shows what was done and when it was done in order to determine our premium.
