Community Association Management System
The use of CAMS would typically result in an annual cost savings in the area of mailing and postage. Florida law requires that owners be provided a written notification of the following events each year and that this written notification be "hand delivered, mailed or electronically transmitted to each unit owner".

  1. 1st notice of annual meeting (this notice usually also includes notice of the board of director elections)
  2. 2nd notice of annual meeting (this notice usually also includes notice of the board of director elections)
  3. Notice of annual budget meeting with a copy of the proposed budget
  4. Notice that the annual audit has been completed and either a copy of the audit or notice that a copy is available upon request

Additionally, written notice to owners is required for the following events

  1. Notice of any meeting during which a change to the Rules and Regulations or recorded Documents will be discussed
  2. Notice of any meeting during which a special assessment will be discussed

Additionally, many associations send owners newsletters and/or updates on major project activities such as hurricane repairs.

CAMS supports the use of e-mail to provide written notice to unit owners in 2 ways which are:

  1. CAMS keeps track of which owners have consented to receive written notice required by law via e-mail in place of a paper mailing. When you need to send a written notice to unit owners, CAMS will open an e-mail which is addressed to only those owners who have given you permission to send electronic notices in place of paper mailings and then print an affidavit listing the owner names & e-mail addresses to whom the electronic notices were sent. You would then attach the notice (Annual Meeting, Budget Meeting, etc.) to the e-mail. CAMS will then print out address labels for only those owners who have not consented to receive an electronic notice.
  2. For communications where you do not need to get the unit owners' approval to send a communication electronically such as a newsletter, CAMS will open an e-mail for all unit owners for which you have an e-mail address and then print out mailing labels for only those unit owners who do not have an e-mail address.

It is not unusual to have e-mail addresses for 25% of your owners and to have permission to send electronic notices rather than paper notices to 15% of your owners. Following are the potential annual savings in mailing and postage using the following assumptions:
